Terms and Conditions

Bookings

All bookings via our website should be treated as provisional until you receive confirmation from us via email.  To secure your booking a non-refundable deposit of 50% of the cost of your stay is required. If the booking is less than 8 weeks from the start date of your stay, payment in full for your stay is required.

Payments can be made by debit or credit card online at the time of your booking. Confirmation of the booking will be sent within 24 hours after the deposit, or full payment, has been received. If you do not receive your booking confirmation within this time, please notify us as soon as possible.  If the balance is not paid by the due day, Flora & Fauna Exmoor reserves the right to re-let the lodge and retain the deposit. Flora & Fauna Exmoor only accepts bookings from persons over 18 years of age and reserves the right, at all times, without statement of reasons, to refuse or cancel a booking.

The prices featured on the website are subject to change.  At the time of booking you will be informed of the correct price. The price stated on the confirmation invoice is binding.

Arrival

Check-in is from 4pm.  Please advise us of your intended arrival time as this helps us to prepare your accommodation.  For example, we will leave the front of your tent rolled up if it’s particularly hot.  Please ensure you plan your journey to arrive during daylight.  Lighting is restricted on site to comply with Exmoor Dark Sky Status.

We operate a self check-in service and all the information relevant to your stay will be sent to you via a TouchStay Digital Guide Book.  However, if you wish to be welcomed in person upon arrival, please let us know in advance and we will happily greet you.

Please park your car on the grass matting next to your lodge.

Departure

Guests are requested to vacate their lodge by 10am on the date of their departure, having stripped all used bedding, washed up, tidied and returned all furniture to their original positions. This is to ensure the changeover team have sufficient time to prepare the lodge for the nexts guests.

If you have booked the site exclusively, please make sure that all the crockery, furniture, kitchen utensils and equipment, rugs, hot water bottles etc are back in the correct Lodge.

Cancellations

We understand that plans can change so if you cancel your stay within 8 weeks of your arrival date we will endeavour to re-let your lodge. If we are unable to do so, then we regret that we will be unable to refund any monies paid. Should you cancel prior to this date, we will refund any monies paid, less your 50% deposit, or reschedule your stay for another date. An administration fee of £50 will be charged in this instance. We recommend that you have appropriate holiday insurance cover.

In the event that we need to cancel your stay we shall inform you as soon as possible and refund all monies paid to us, by you, within 14 days of notifying you.

Group Bookings

Flora & Fauna Exmoor reserve the right to refuse group bookings if we feel they may be of detriment to other guests staying on the farm. We are a family friendly site and potential guests should bear this in mind when booking to avoid disappointment.  Stag and hen parties are not permitted.

Visitors 

Flora & Fauna Exmoor is situated on a private small working farm, with livestock, wildlife and space for children to play freely. In order to protect this and the quiet, private nature of the site, we are unable to welcome day visitors.

Dogs

We are happy to welcome up to 2 dogs per lodge. As there is livestock on the farm and other surrounding farms, dogs must be kept under control at all times.  Farmers have a legal right to shoot any dog worrying or causing harm to livestock.  Dogs must not be left unsupervised in the lodges, nor tied to the decking area at any time. Dogs are not allowed on sofas or beds at any time. We charge a £25 supplement per dog and provide bedding, blankets, towels, treats and bowls for your dog(s) during your stay. Please clean up after your dog. Children play freely here. 

Car Charging

Permission to charge an Electric Vehicle must be sought and approved prior to arrival. Electric Vehicle charging can be facilitated at 0.50p/KW via a 3 pin, 13amp socket in the lodge. Anyone found charging their car without consent will be in breach of these terms and conditions.

Refuse and recycling

We are an eco site in a rural area and take recycling very seriously. A selection of recycling bins are provided in each lodge. Guest are asked to empty their bins into the correctly labelled wheelie bins near the log store prior to their departure.

Noise & light pollution

We ask that guests keep noise to a minimum after 10pm and before 8am, in consideration of others. We are situated in a Designated Dark Skies Reserve and so ask that guests roll down all blinds in their lodges after sundown.

Smoking

Smoking and vaping are not permitted at any time on site. We are a family orientated site and children must not be subjected to second hand smoke. If there is evidence that someone has smoked inside the lodges, we reserve the right to request £1, 000 to cover some of the losses that will be incurred should we have to cancel the next guests whilst the canvas lodge and soft furnishings undergo a deep clean. Please do not bring candles or lanterns or leave fires unattended. Please do not use your BBQ inside the lodges or on the decking at any time as this poses a serious fire hazard and could lead to injury or even death.

Farm

Flora & Fauna Lodges are situated in a securely fenced field. Whilst guests are permitted access to this field, they are strictly prohibited from accessing anywhere else on the farm. This is to ensure the welfare of both guests and livestock on the farm. Any guest found accessing other areas of the farm does so at their own risk and will be in breach of these terms and conditions.

Farm Animals

During your stay, you may come across farm animals through introduction or by chance. Flora & Fauna Exmoor takes all precautions to ensure the welfare of you and your party at all times. If however, you agree to be introduced to any of the farm animals, you do so entirely at your own risk and voluntarily assume the risk of being injured.

Breakages/Damage

Please leave the accommodation tidy and let us know if anything gets broken, so we can replace it for our next guest. We will only charge for replacements in exceptional circumstances, as we expect a degree of wear and tear. If damage is directly attributable to the guest, then we reserve the right to request payment of up to £150 from the guest.  We are not unreasonable.

Assumption of Risks

Whilst we take great care to keep you safe, accidents can happen, and we are not held responsible for such accidents (to the greatest extent permitted by law). It is your responsibility to supervise any children. If you notice that any equipment looks faulty and/or unsafe you must inform us as soon as possible. We advise that you have valid travel insurance in place that will provide suitable cover for accidents, illness, bereavement, transport difficulties as well as extreme weather conditions and the risk of your stay being cut short.

Responsibility

By booking you agree to be responsible for your children and any children in your care, and your own welfare and to take all reasonable precautions against personal injury, injury to others and damage to facilities and lodges. Children must be supervised at all times.

Flora & Fauna Exmoor accepts no liability for theft, loss or damage to your property that may arise from your stay with us. Use of the hot tub, fire pit/BBQ and any other activities on the owners premises are do so at your own risk and th e owners take no responsibility for accidents, injuries or untoward event.

Flora & Fauna Exmoor is unable to guarantee the weather therefore it is the responsibility of the guest to consider the suitability of their party and the time of year they are booking to stay. Flora & Fauna Exmoor recommends that guests with very young children and elderly members of their party book to stay in the warmer months and accepts no liability for the weather.

Guest Behaviour

The Guests have the right to occupy the Property for the paid for holiday period only (within the meaning of Schedule 1 Paragraph 9 of the Housing Act 1988).

Guests undertake to behave in a proper, appropriate, and legal manner with due respect to the Owner, the Property and other guests and their property. If any guest behaves inappropriately or improperly (of which the Owner will be the final judge on their Property), or illegally, the Owner reserves the right to ask the guest and their party (at their discretion) to leave the Property before the end of the holiday period. Any refund for so doing will be at the entire discretion of the Owner. In addition, the Owner reserves the right to sue the guest for any loss, damage or injury caused to the Owner, the Property or to other guests and/or their property.

Breach of Conditions

If there is a breach of any of these conditions by the Guest or any of their party, the Owners reserve the right to re-enter the Property and ask the Guest and their party to leave immediately, without refund of any monies paid and invoiced according to any damages inflicted on the owners property

Authority to Sign – the person who signs the Booking Form certifies that:

·      They are authorised to agree the Booking Conditions on behalf of all persons.

  • The signatory is over eighteen years of age.

  • They agree to take responsibility for the party occupying the Property, and to notify the Owners if they are not a member of the holiday party.

  • Bookings are not transferrable to other parties or guests

 Force majeure, Bad weather and illness

The owner will not be held liable if our agreement or your booking is cancelled or cut short through bad weather, illness, force majeure, including threat of war, staff strikes, blockades, fire, floods, storms, health pandemics and other acts of God that occur outside of the owners control. Guests are strongly advised to take out travel insurance to ensure they have necessary cover in place.

In the rare event of a power cut, you will find a rechargeable lantern in your lodge. Please make contact with the owner if possible. Do not turn on any taps as the pump requires electricity. We cannot be held responsible for interruptions to the National Grid Network.
